Vektis HR OS ("Vektis," "we," "us") provides HR, payroll, scheduling, and accounting software to businesses ("customers," "you"). This policy explains what we collect, why, and the choices you have — for visitors to this website, for the person who signs up for an account, and for the employees that account's HR team manages inside the product.
What We Collect
Account & signup information
When you create a Vektis account, we collect your name, work email, company name, and password (stored as a salted hash, never in plain text). If you contact us through the site, we collect whatever you submit in that form.
Data your company enters about its employees
Once you're using the product, your HR team may enter employee records, payroll figures, performance reviews, attendance, and accounting entries. This data belongs to your company. We process it only to operate the product for you — we do not sell it, share it with other customers, or use it to train any external service.
Billing information
Payments are processed by Stripe. We do not receive or store your card number — Stripe handles that directly, and we only receive confirmation that a payment succeeded, along with a Stripe customer/transaction reference.
Cookies & analytics
We use Google Analytics (GA4) to understand how visitors use our public marketing pages — page views, general location (country/city level), device type. This sets cookies such as _ga and _ga_*. You'll see a consent banner on your first visit; analytics cookies are only set if you accept. You can change your choice at any time — see the link in the site footer.
We do not use advertising or cross-site tracking cookies.
Why We Collect It
- To create and secure your account, and let you log in.
- To operate the HR/payroll/accounting functionality you're actually using the product for.
- To process payments and keep your subscription accurate.
- To respond when you contact us.
- To understand, in aggregate, how the marketing site is used, so we can improve it.
Who We Share It With
We don't sell personal data. We share it only with the service providers that make the product work: our hosting provider (to run the servers), Stripe (to process payments), and Google Analytics (for anonymized-at-the-account-level site usage, only after consent). Each of these processes data under their own privacy commitments.
Data Security
Passwords are hashed, not stored in plain text. The site is served over HTTPS. Access to a company's HR/payroll data inside the product is restricted by that company's own permission settings — one tenant's data is never visible to another.
Your Rights
You can ask us to access, correct, or delete the personal data we hold about you by emailing Askceo@vektis.online. If you're an employee whose data was entered by your employer's HR team (not you directly), that request should generally go to your employer first, since they control that data — we'll assist them if needed.
Changes to This Policy
If this policy changes materially, we'll update the date at the top of this page. Continued use of Vektis after a change means you accept the updated policy.
